Training Matrix

The Training Matrix module in P3 LogiQ allows companies to document and track personnel training completions, schedule future training dates, and ensure training effectiveness. This module is vital for maintaining compliance with certification standards like ISO 9001, ISO 14001, ISO 45001, R2, and RIOS. Users can assign required trainings, and once completed, both the trainee and the trainer will need to sign off on the record. Additionally, the effectiveness of the training must be verified.

This step-by-step tutorial will guide you through using the Training Matrix module effectively.

Step 1: Access the Training Matrix Module

  1. Log in to your P3 LogiQ account.
  2. Navigate to the Personnel section and select the Training Matrix module.

You will see a list of employees and their training records, including completed trainings and upcoming due dates.

Step 2: Assigning a Training to an Employee

  1. Click the "Assign Training" button at the top-right of the module.

  2. In the Assign Training pop-up window:

    • Trainings: Select the relevant training from the dropdown list (e.g., "QEHS Awareness Training").
    • Employees: Select the employee(s) who need to complete the training.
  3. Click Submit to assign the training to the selected employee(s).

Step 3: Documenting Training Completion

Once a training is completed by an employee, the system needs to capture this information along with the verification of effectiveness.

  1. After a training is marked as completed, both the trainee and the trainer need to sign off on the training record. This ensures that both parties confirm the completion.

  2. Additionally, you will need to verify that the training was effective. This is a critical part of the process to ensure that the employee understands the content of the training:

    • Verification of Effectiveness: This can be done through methods such as quizzes, practical demonstrations, or feedback assessments to confirm the trainee’s comprehension.
  3. Once the sign-offs and effectiveness verification are complete, the system will update the Last Training Date and automatically schedule the Next Due Date based on the training frequency (e.g., annually, quarterly).

Step 4: Tracking Training Status and Due Dates

The Training Matrix provides a centralized view of all training assignments. For each training, the following details will be visible:

  • Training Title: Name of the training (e.g., "QEHS Awareness Training").
  • Employee Name: The employee assigned to the training.
  • Last Training Date: The date the employee last completed the training.
  • Next Due Date: The upcoming due date for the next training session based on the assigned frequency.

You can also filter and search for specific employees or trainings using the Search bar at the top of the module.

Step 5: Managing Training Records

  1. To modify the training record, click the Edit button next to the record in the Actions column.
  2. Update any necessary details such as the completion date, trainer’s sign-off, or effectiveness verification results.
  3. Once you’ve made your changes, click Submit to save the updates.

To remove a training assignment, click Unassign next to the employee’s record. Confirm the action in the pop-up window to remove the training from the employee’s record.

Step 6: Ensuring Compliance and Effectiveness

To comply with applicable standards such as ISO 9001, ISO 14001, ISO 45001, R2, and RIOS, you must ensure that all employees complete their assigned trainings on time and that the training is effective. Regularly review the following:

  • Training Completion: Ensure that employees complete their training before the Next Due Date.
  • Verification of Effectiveness: Implement a process to regularly check and validate that employees have understood and can apply the training.

This helps demonstrate that the company is continually improving and that personnel are competent in their roles.

The Training Matrix module in P3 LogiQ is an essential tool for tracking, managing, and documenting employee training completions.
